# Admin quickstart

Set up an organization, prepare a workspace and have an invited developer open their first workstation. You need an admin account in the [dashboard](https://app.usekolaos.com).

If your organization already has infrastructure configured, start with [creating a workspace](https://docs.usekolaos.com/administration/workspaces-and-members.md#create-a-workspace). Otherwise, sign in and resume organization setup. If you need access to KolaOS, [request a demo](https://usekolaos.com/#demo).

**1. Name your organization**

Sign in to the dashboard. If setup asks you to **Create your organization**, enter the name your team will use. If the organization already exists, continue with its remaining setup steps.

**2. Choose infrastructure**

Select the infrastructure that will run your workstations. KolaOS Cloud and AWS also require a region. You cannot change the saved infrastructure or region yourself.

**KolaOS Cloud**

Choose **KolaOS Cloud**, select your region and continue to workspace setup. You don't need to connect an AWS account or install software on a server.

**Your AWS account**

Choose **Your AWS account** and select your region. On **Connect your AWS account**, open the setup link in the AWS account you want to use.

Review and create the CloudFormation access stack with an AWS identity that can create its IAM resources. Keep the KolaOS setup page open while registration completes. KolaOS then prepares the network, AI gateway and nodes in your account.

You can choose **Set up workspace first** while infrastructure is pending. A workstation cannot become ready until infrastructure is ready and a node is online. See [AWS setup and recovery](https://docs.usekolaos.com/administration/infrastructure.md#your-aws-account).

**Your servers**

Choose **Your servers**. Your server needs Ubuntu 22.04 to 26.04 on x86-64, root access, working KVM and at least 220 GiB free on the filesystem that holds `/var/lib`.

Review the installation requirements, choose **Continue to installation**, and copy the command KolaOS generates. Run it on your server, then check the node agent, virtualization, workstation image and AI gateway readiness in KolaOS before continuing.

> [!WARNING]
>
> The own-server setup is implemented but has not been verified on a real customer server. See [server requirements and troubleshooting](https://docs.usekolaos.com/administration/infrastructure.md#your-servers) before installing.

**3. Create a workspace and invite a developer**

Enter a workspace name and choose **Create workspace**. On **Invite your team**, enter a developer's email, choose **Developer**, and send the invitation.

The invitation includes membership in the new workspace. KolaOS queues that developer's workstation when they join. Admins manage workspaces but cannot be added as workspace members. Use a developer account for the first workstation session.

**4. Add a repository**

In **Organization**, open **Integrations** and connect GitHub. Install the Kola GitHub App with access to the repositories your team needs.

In your workspace, open **Repositories**, choose **Add repository**, and select a repository from the installation. Workstations apply the updated settings and clone configured repositories. See [repositories](https://docs.usekolaos.com/administration/repositories.md) if a repository is missing.

**5. Connect an AI provider**

In **Organization**, open **AI providers** and choose **Connect provider**. Follow the setup for a provider your team uses, then complete **Test and connect** where offered.

In the workspace, open **AI governance**, enable an AI tool and choose a default model served by the provider. Resolve **No provider**, **Model not served** or **Provider not working** before asking the developer to use it.

KolaOS records AI requests and responses, and admins can read the records. Review [provider setup](https://docs.usekolaos.com/administration/ai-providers.md) and tell your team about [prompt records](https://docs.usekolaos.com/development/ai-tools.md#prompt-records).

**6. Have the developer open their workstation**

Ask the invited developer to accept the invitation with the same email address, select the workspace and open their own workstation. Once it is **READY**, they can choose **Open IDE** and use the browser terminal.

Have them open the configured repository and run its normal setup and test commands. They can then start an enabled AI tool and complete a first task in the repository.

Your admin role does not let you open another member's workstation. See [opening a workstation](https://docs.usekolaos.com/development/open-a-workstation.md) and [troubleshooting](https://docs.usekolaos.com/development/troubleshooting.md) if the developer cannot connect.
